Booth Happenings – Deadline: May 15, 2018

Booth Happenings are exhibitor-sponsored events held on the exhibit floor and are open to all UNITE 2018 attendees. These may include author signings, demonstrations, personality appearances, giveaways, or drawings. CBA will list all booth happenings in the printed UNITE Onsite program that all attendees receive. Each listing is $25. Submit your Booth Happenings online.


Special Offers – Various Deadlines

Exclusive convention-only pricings or packages are major draws for attendees to attend UNITE 2018. Use multiple options to let attendees know about your exclusive offers and entice visits to your booth.

  1. Ignite your Exclusive Deals – Deadline: May 31, 2018 – Give buyer’s added reasons to visit your booth by creating a conference exclusive coupon insert within the Ignite Saving Booklet. Each coupon is only $500. Purchase the coupon insert through Dunn & Dunn, ellie@carldunn. Receive a free icon placement by your company name in the UNITE Onsite program if purchased by May 15, 2018.
  2. Make a Splash – Deadline: May 17, 2018 – Give attendees photos and details about your offer with a display ad in the UNITE Onsite program. Freeman Services (Official Show Decorator) – Discount Deadline: June 18, 2018

Take advantage of Freeman’s new incentives on services and labor by ordering online by June 18, 2018 for approximately 30 percent savings. All services including displays and rigging orders placed after this deadline and at the convention will be charged the standard rates.

Booth Variation Request – Deadline: May 31, 2018

For any exhibiting company whose booth configuration does not meet the parameters described in the Booth Construction Specification as outlined in the UNITE 2018 Exhibitor Terms and Conditions, please fill out this request for variation in detail, attach drawing, and return it to CBA by May 31, 2018DOWNLOAD


Exhibitor-Appointed Contractor – Deadline: May 31, 2018

Any business that your company has independently contracted with to provide services to your booth during setup and dismantle hours at UNITE 2018 must have an Exhibitor Appointed Contractor form on file with CBA. Examples include independent service contractors, florists, and photographers. These do not include preferred providers CBA has already approved. DOWNLOAD


Catering – Discount Deadline: July 3, 2018

All food and beverage must be ordered through Catering Services at Gaylord Opryland Resort & Convention Center. Gaylord Catering has exclusive food and beverage distribution rights within the convention center. If you require electrical, water/plumbing, cable, phone or internet, you may do so by ordering directly from Exhibit Hall Operations and IT Services at the Gaylord Opryland Resort & Conventions Center.


PSAV – Exhibitor Booth Request for A/V or Rigging – Deadline: June 15, 2018

For any exhibiting company wanting to rent audio visual equipment or rigging services from PSAV (Gaylord’s preferred Vendor), please order by June 15, 2018, for guarantee of equipment and to avoid any additional fees. All booth configurations outside the booth specification in the UNITE 2018 Terms and Conditions and any hanging banners/signs from the ceiling must be approved by CBA.


Exhibitor Booth Request for Floral – Deadline for early pricing: June 29, 2018

Exhibitors may rent or buy any booth floral arrangements or plants from our exclusive florist, Teasley’s Convention Florist, prior to June 29, 2018. DOWNLOAD


Exhibitor Event Request – Deadline: May 15, 2018

Exhibitor Events give you opportunities to meet privately with your customers, team members, and special audiences or host a public event at UNITE 2018. Whether a breakfast, lunch, or team meeting, we assist you by providing a free location to conduct activities or meetings while everyone is together during convention during approved times. Food and beverage services and audio-visual services are available at an additional cost, and you will receive CBA’s service discounts. CBA can publish your event on the schedule by request if it is a public event for all attendees, however, we do not promote or send invitations for these events. Submit your Exhibitor Events.

PROGRAM LISTINGS (May 15 Deadline)
For an additional low cost fee, you may list additional companies/brands that you will be representing at UNITE. Additional Program Listings are mainly used for distributors/rep companies, while additional Brand Listings will be used for suppliers with more than one brand. Each exhibitor will receive one complimentary listing with booth purchase; program listings will also receive an online profile once purchased. It is, however, up to each exhibitor to update their online booth profile. CBA will be using online company profile information for the onsite program directory. Please make sure your Online Booth Listings are up-to-date prior to May 15. Login to update your company profile or contact Dunn & Dunn or Katie Ghist for additional listings.

  • $400 for each additional Company Program Listing (intended for company rep groups)
  • ​$200 for each additional Brand Listing (intended for acquired company identities)

PARKING FOR EXHIBITORS

The loading dock may be accessed directly behind the Ryman Halls at Ryman Dock B. From the main entrance, you should follow the green trail on the map: turn left on Opryland Drive and go past the Magnolia valet lot and Parking Lot 3, then pass the Presidential Ramp to get to Ryman Dock B. CLICK HERE

If you are staying at the Gaylord Resort & Convention Center, you will receive $10 off published rates for parking. You may park near the convention center in the Presidential Parking area. See loading dock entrance map.

Transporting Items Onsite

Gaylord Deliveries

All Exhibit Floor deliveries should come through the docks. The Gaylord Opryland will not allow loading or unloading at any of the lobby entrances for transporting to or from the Exhibit Floor. The use of dollies or two-wheeled carts through the hotel lobbies is prohibited.

Drayage
You will be invoiced directly for drayage charges relating to your shipments. Drayage is the receiving and movement of your materials from the dock doors to your booth and from your booth to the dock doors at the end of the convention. Loading & Unloading
Should you be using a Personally Owned Vehicle (POV) or a delivery truck rather than ship your items, go to the Loading Dock to unload items. Freeman will set up an area at the dock for exhibitors to off load at the Ryman Dock B based on the LABOR UNION JURISDICTIONS rules.

  • Personally Owned Vehicles
    One person (driver) will need to remain in the vehicle at all times as there may be a chance the vehicle will need to be move if asked by Freeman or the Gaylord Security Team. Two-wheel dollies are allowed, but four-wheel carts are not. Two-wheel dollies will not be provided and will need to be brought by the exhibitor. Trailers are not permitted.
  • Large Truck Deliveries 
    Deliveries/shipments arriving before July 7th, 2018, may be refused. Any charges incurred for early freight accepted by the facility are the responsibility of the Exhibitor. Be sure your carrier knows the exhibitor name and booth number when making arrangements.

Capture attendee data at the press of a button. Use LeadKey to scan attendee’s badges and capture their basic contact information including store and registration information. Retrieve a report of all scans at the end of convention to follow up with interested leads.

Retail Stores Mailing List – Exhibitor Special

The best way to build traffic at UNITE 2018 is through personal invitations to attendees. You may purchase a mailing list of all retail stores in the Christian product channel.
